AI Bookkeeping Osborne Park
A suburb where nearly every client carries stock
Osborne Park sits about seven kilometres north-west of the Perth CBD and it is not really a residential suburb at all. The market gardens that covered it after the war gave way to light industry from the 1950s, and what grew in their place is one of the largest trade and commercial precincts in the metropolitan area: the motor dealerships along Scarborough Beach Road and Main Street, bulky-goods retail around Hutton Street, hydraulics and safety and packaging wholesalers in the cul-de-sacs off Guthrie and Frobisher Streets, sheet metal and fabrication shops, and the office park that wraps around Herdsman Lake. Barely a few thousand people sleep here. Tens of thousands come to work. The City of Stirling around it is Western Australia's most populous local government, with roughly 240,000 residents, and Osborne Park is where a large slice of them are employed.
For a bookkeeper, that produces a client book with a very particular shape. These are not service businesses whose profit and loss is wages plus rent. They buy things, hold them, and sell them, which means the number that matters most, cost of goods sold, is the one the bank feed cannot tell you. A month can be fully reconciled to the cent and still report a gross margin that is completely wrong, because the freight invoice went to an expense code, the container that landed on the 29th was received in the warehouse app but not invoiced until the 3rd, and the stocktake variance from March is still parked in a suspense account.
Layer on the funding. A dealer on Scarborough Beach Road does not own most of the cars on the yard; a bailment financier does, and that account is kept vehicle by vehicle rather than as one loan balance, so the interest, the principal reductions on aged units and the settlement on each sale all have to be traced back to a specific VIN before gross profit per deal means anything. A dealer carrying 120 used vehicles at an average of $35,000 has roughly $4.2 million of stock on floorplan; at around eight per cent, that is close to $28,000 a month in interest that has to be split between units still on the yard and units already gone, or gross profit per deal is meaningless. Then layer on trade credit. Almost everything in this precinct moves on 30-day accounts in both directions, which means every month a dozen supplier statements arrive, each needing to be worked against the creditors ledger before anyone can pay with confidence.
None of that is hard work. It is slow, repetitive, unglamorous work that no bookkeeper wants to spend a Tuesday on and that quietly gets deferred until quarter end. A dedicated AI is very good at exactly this shape of problem: high volume, clear rules, thousands of comparisons, an exception list at the end. It works inside Xero and MYOB alongside whatever stock system the client actually runs, and it does it overnight. If your book is broader than the trade belt, our guide for Perth bookkeeping practices covers the wider metropolitan picture.

Pick the Osborne Park client whose inventory control account has been out for months. In 30 minutes we will show you the movement rebuilt between Xero and the stock subledger, with the difference itemised instead of journalled away. Deploys within 1 hour.
Book a 30-min demoFive places the bank feed stops telling the truth
Every one of these is reconciled in the bank but wrong in the accounts. This is the work the dedicated AI takes on.
| The gap | What usually happens | What the AI does instead |
|---|---|---|
| Stock on hand | The control account and the warehouse app drift apart for months, then a year-end journal forces them together | Rebuilds the monthly movement and lists every transaction sitting in one ledger and not the other |
| Cost of goods sold | Freight, duty and clearance are coded as expenses, so monthly gross margin is understated all year | Groups the documents by shipment and posts the landed cost across the units on it |
| Floorplan finance | Drawdowns, interest and payouts arrive as lump sums with no link to a vehicle or stock number | Matches each movement to its unit, then reconciles the financier statement to the yard |
| Supplier statements | The monthly statement is spot-checked, or skipped, and duplicate invoices and unclaimed credits survive | Matches every line to the creditors ledger and returns only the genuine exceptions |
| Trade debtors | 30-day accounts quietly become 50-day accounts because nobody had time to chase this week | Sends the reminder with the invoice and delivery docket attached, on your schedule and in your wording |
A Guthrie Street practice, the week the statements land
Picture a five-person bookkeeping practice on the first floor of a strata office on Guthrie Street, a block back from Scarborough Beach Road: a registered BAS agent who owns it, three bookkeepers and a part-time administrator. Forty-six clients, and the book is deliberately narrow. Eleven are wholesalers and distributors, hydraulic fittings, commercial kitchen equipment, safety gear and pool supplies, most of them importing at least part of their range. Four are motor dealers, two franchised sites on Scarborough Beach Road and two independent used-car yards. Nine are trade suppliers and builders' merchants selling to subbies on account. The rest are fabricators, a signage business, a couple of transport operators and a short tail of service clients the principal keeps out of loyalty.
The software is a patchwork, as it always is. The wholesalers run Xero with Unleashed or Cin7 over the top. Two of the motor dealers are still on MYOB AccountRight because their dealer management system exports to it and nobody wants to touch that. The builders' merchants are mostly Xero with the supplier portals doing the heavy lifting. Nothing talks to anything else cleanly.
The pressure point is not the 28th, it is the second week of every month, when the trade account statements arrive. Historically that week ran like this. The hydraulics client's Unleashed stock on hand said $1.94 million while the inventory control account in Xero said $2.07 million, a $130,000 gap that had built up over seven months of freight and customs invoices posted straight to cost of sales. One builders' merchant statement carried 214 invoices and 31 credit notes and took a bookkeeper most of a day. The larger franchised dealer had 138 units on floorplan, nineteen of them past 120 days with curtailments falling due, and the financier's statement had not been tied back to the stock list since the previous audit. Meanwhile debtors across the whole book had drifted from 30-day terms to an average of 48 days, because chasing is the first thing that gets dropped when the month is tight.
With a dedicated AI running, that week looks different. It works the statements overnight as they arrive: the 214-line merchant statement comes back with eleven exceptions, two of which are duplicate invoices worth $4,100 that would have been paid twice. The hydraulics reconciliation is rebuilt month by month, the $130,000 traced to 41 freight and duty invoices and a shipment received in one period and invoiced in the next, and presented as a schedule with a proposed correcting journal for the BAS agent to approve rather than a number to plug. The dealer's floorplan is matched unit by unit, the nineteen aged vehicles come back as a flagged list the dealer principal sees before the curtailment hits the account, and interest is split between sold and unsold stock so each deal's gross profit is real. Reminder emails go out every morning in the practice's own wording, with the invoice and the delivery docket attached.
The principal still approves every journal, every write-down and every BAS lodgement. What changed is that the second week of the month stopped being the week nobody books leave, and the practice took on six more inventory clients without adding a fourth bookkeeper, in a market where finding one is genuinely hard. The wider argument for that trade is set out in our piece on the cost of capacity versus hiring.
Send us a 200-line supplier statement and a floorplan report
We will run both against a real Xero or MYOB file from your Osborne Park book and show you the exception list your bookkeeper would open at 8am, including the duplicates and unclaimed credits nobody was going to find.
See it on your Xero fileNightly, monthly, quarterly
An inventory book runs on three clocks, not one. The dedicated AI works to all three.
Every night
Codes bank feeds, matches purchase invoices to goods received, applies landed costs to shipments that cleared that day, matches floorplan movements to stock numbers and queues debtor reminders for the morning.
Every month
Works each supplier statement against the creditors ledger, reconciles the inventory control account to the stock subledger, ties the financier statement to the yard, and produces a gross margin by product group that is actually defensible.
Every quarter and year end
Drafts BAS working papers with the import and deferred GST figures carried through, ages stock at 90, 180 and 365 days, and packages the stocktake variances with the transactions that might explain them.
What it connects to
Xero and MYOB as the general ledger, including MYOB AccountRight files that a dealer management system writes into. Stock subledgers including Unleashed, Cin7, Fishbowl and MYOB's own item file. Capture tools such as Dext and Hubdoc. Supplier portals, freight forwarder emails and customs entries as PDFs. Where a system will only produce a nightly CSV or a printed stock list, it works from that. QuickBooks Online is supported for the clients who sit outside the usual two.
The line between preparing and deciding
Your registration, unchanged
It drafts BAS working papers, reconciliations and GST and compliance schedules. A registered BAS or tax agent reviews and lodges, and Tax Practitioners Board obligations apply exactly as before.
No plug journals
It will not force a stock reconciliation to balance. An unexplained difference stays unexplained, itemised and visible, until a person decides what it is. That is the whole value of the exercise.
Onshore and single-tenant
Runs on isolated AWS infrastructure in the Sydney region. Supplier pricing, rebate deals and customer finance details never leave Australia and are never pooled with another practice's data.
Every match is traceable
Which statement line matched which invoice, which landed cost went to which shipment, which unit a payout belonged to, and who overrode what. Useful for the client, the auditor and your own supervision file.
What Osborne Park bookkeepers ask first
Our clients' stock on hand never agrees with the inventory control account in Xero. Can a dedicated AI actually find the gap?+
Yes, and this is the single most common reason an Osborne Park practice calls us. The gap is almost never one big error, it is dozens of small ones accumulating: freight and customs invoices coded straight to an expense account instead of being landed onto the shipment, a credit note for returned stock posted to the supplier but never reversed out of inventory, goods received in the warehouse app in one month and invoiced by the supplier in the next, and a stocktake variance that someone journalled to a suspense account to get the file to balance. The dedicated AI rebuilds the movement between the two ledgers for the period: opening balance, purchases, landed costs, cost of goods sold, adjustments, closing balance, then lists every transaction that appears in one system and not the other. You get a reconciliation you can hand to a client or an auditor, not a plug journal.
We look after motor dealers on floorplan finance. Can it handle bailment, curtailments and the payout on each sale?+
It can, and it is one of the jobs bookkeepers most often do badly because it is tedious rather than difficult. Under a bailment facility the financier owns the cars on the yard, not the dealer, and the account is kept at the level of the individual vehicle rather than the business: money drawn against one VIN, interest ticking on that VIN alone, a principal reduction demanded once the unit has sat too long, and a settlement taken out of the proceeds the day it is retailed. The bank feed shows lump sums that do not match anything. The dedicated AI matches every drawdown, interest charge, curtailment and payout back to the stock number or VIN it belongs to, reconciles the financier's month-end statement to the vehicles actually on the yard, and splits the interest between units still in stock and units already sold so gross profit per deal is honest. Aged units approaching a curtailment date come back as a flagged list, which is usually the first time the dealer principal sees the problem early enough to act on it.
A monthly supplier statement can run to 200 lines. What does the AI actually do with it?+
It works the statement the way a careful bookkeeper would, just faster and at two in the morning. It reads the PDF or emailed statement, matches each invoice, credit note, rebate and recipient created tax invoice to the creditors ledger in Xero or MYOB, and sorts what is left into real categories: invoices on the statement that were never entered, invoices entered twice, credits claimed by the client but not yet issued by the supplier, timing differences where goods were delivered on the last day of the month, and short payments where a settlement discount was taken. A 214-line builders' merchant statement typically comes back with eight to fifteen genuine exceptions. Your bookkeeper chases those, instead of spending a morning ticking off the 199 lines that were always going to agree.
Several of our wholesalers import. Can it deal with landed costs, customs duty and the deferred GST scheme on the BAS?+
Yes. An imported shipment arrives as four or five separate documents that all belong to the same stock: the overseas supplier invoice in USD, the freight forwarder's invoice, a customs entry showing duty, and often an insurance and clearance charge. If those are coded as expenses, cost of goods sold is understated and every monthly gross margin the client sees is fiction until year end. The dedicated AI groups the documents by shipment, applies the exchange rate used on settlement, allocates the freight, duty and clearance across the units on that shipment by value or by weight to your rule, and posts the landed cost journal. For clients on the deferred GST scheme it carries the deferred amount through to the right BAS labels rather than leaving it sitting in the import invoice. A registered BAS agent still reviews and lodges.
Our clients run Unleashed, Cin7 and one is on a dealer management system. Does this only work if everything is in Xero?+
No. Almost no inventory business in the Osborne Park belt runs on the accounting file alone, because the inventory built into Xero and MYOB is deliberately simple. The dedicated AI connects to Xero and MYOB as the general ledger and reads the stock subledger wherever it lives, whether that is Unleashed, Cin7, Fishbowl, MYOB AccountRight's own item file or a dealer management system that only produces a nightly export and a stock list. If the only thing a system will give you is a CSV or a PDF report, it will work from that. The point is that something reconciles the two every month instead of assuming the integration did its job.
Everything in this precinct trades on 30-day accounts, both ways. Can it chase debtors without embarrassing our clients?+
It can, and the tone is yours to set. Trade credit in a precinct like this is a relationship, so the AI is configured per client: which accounts are never to be chased automatically, how many days past due the first reminder goes, whether it goes to the accounts payable clerk or the owner, and what it says. It works both sides of the ledger. On the receivables side it sends the reminder with the invoice and any proof of delivery attached, which removes the most common stalling excuse. On the payables side it keeps a payment run schedule against each supplier's actual terms, flags where a settlement discount is worth taking and where an account is close to its credit limit before stock gets put on hold. Anything unusual, a disputed delivery or a customer suddenly slipping from 30 to 60 days, comes to a person.
Does it decide the obsolete stock write-down or sign off the stocktake adjustment?+
No. Valuing slow-moving or obsolete stock and accepting a stocktake variance are judgement calls with tax and audit consequences, and they belong to the BAS agent, the accountant or the business owner. What the AI provides is the evidence to make the call quickly: an ageing of stock by line showing what has not moved in 90, 180 and 365 days, the cost and the last selling price of each, the count variance by location with the transactions that could explain it, and a comparison with the same figures last year. It prepares the schedule and flags the items worth a decision. A person decides, and the audit trail records who.
Our dealers hold customer finance applications and our wholesalers' supplier pricing is commercially sensitive. Where does that data sit?+
In Australia, in an environment that is yours alone. Each dedicated AI runs single-tenant on AWS in the Sydney region, so nothing is pooled with another practice and nothing is used to train a model for anyone else. That matters more than usual in this precinct. A car yard's files contain licence numbers, finance applications and trade-in valuations. A wholesaler's supplier pricing and rebate agreements are the thing their competitor two streets away would most like to see, and several of your clients may be competitors of each other. Access is scoped to the specific files, folders and mailboxes you connect, and every action the AI takes is logged.
Does handing inventory work to an AI change our Tax Practitioners Board obligations?+
No. The dedicated AI prepares and a registered BAS or tax agent reviews and lodges, exactly as with any assistant bookkeeper. Your registration, the Tax Agent Services Act and the Code of Professional Conduct all apply unchanged, including the duty to take reasonable care and to supervise the work done under your name. In practice the audit trail makes supervision easier to evidence than it is with manual work: you can see which statement lines were matched automatically, which were flagged, which a bookkeeper overrode and when.
