AI for Accountants Subiaco
Two very different client books, one Subiaco practice
Subiaco sits about three kilometres west of the city, and its professional-services firms have grown up around two anchors. The first is the resources sector's long tail: the small ASX-listed and pre-IPO explorers whose registered office is a shared suite on Hay Street or Rokeby Road, whose company secretary and CFO are often outsourced, and whose accountant is the one person who sees every dollar raised and spent. The second is medicine. St John of God Subiaco Hospital, founded in 1898 and now the flagship of the state's largest private hospital operator with close to 580 beds, sits on Salvado Road; King Edward Memorial Hospital is a few streets away on Bagot Road; and the QEII Medical Centre is just over the Nedlands boundary. That concentration puts hundreds of surgeons, anaesthetists, obstetricians and physicians within walking distance of a Subiaco accountant's office.
The two client types could hardly be less alike, but they break a practice in the same way. An explorer's books are low in transaction volume and high in consequence: every quarter the ASX expects an activities report and Appendix 5B cash flow within a month, raises arrive in tranches with lead manager fees and attaching options, and the option reserve and tax treatment of exploration spend need to survive an audit. A specialist's books are the opposite, high in volume and low in drama until they go wrong: thousands of health fund and Medicare deposits a year, gap payments, a family trust, and a service entity whose fee has to be commercially justifiable, with the personal services income rules hovering over how the income is structured.
Neither workload fits a generalist junior, and both hit at once in July, when the June quarter 5Bs fall due in the same weeks the specialists want their tax planning. A dedicated AI does not replace the judgement those clients pay for. It removes the reconciling, matching and schedule-building underneath it, working through Xero and MYOB overnight so your people start the day at the review step. For firms comparing options across the metro area, our Greater Perth overview covers the wider picture.
Watch a dedicated AI draft a Subiaco explorer's 5B workings
In 30 minutes we will take a reconciled Xero file from bank feed to draft quarterly cash flow, with exploration spend split by tenement and related-party payments listed. Deploys within 1 hour.
Book a 30-min demoA Rokeby Road firm, the three weeks after 30 June
Imagine a practice above a café on Rokeby Road: two directors, four staff, 71 clients. Nineteen are resources companies, eleven of them ASX-listed gold, lithium and rare-earths explorers with tenements in the Yilgarn and the Gascoyne, the rest pre-IPO vehicles and a couple of drilling contractors. Thirty-four are medical specialists, mostly proceduralists with operating lists at St John of God Subiaco and consulting rooms nearby, each with a family trust and a service entity that employs the rooms' receptionist and practice manager. The explorers run on Xero. The specialists are split: newer clients on Xero, and a group of nine who arrived from a retiring Nedlands accountant still on MYOB AccountRight, due to migrate before next June. The remaining eighteen are the family groups and investment companies that tend to follow a doctor or a mining director to their accountant.
July used to be the month nobody took leave. The June quarter 5Bs were due by the end of the month, one explorer had closed a two-tranche placement with attaching options on 27 June, and the auditors wanted the option reserve reconciled for the 30 June accounts. At the same time the specialists' practice managers were emailing year-end billing exports, and the directors needed service entity cost schedules before they could sign off on fees and talk to anyone about PSI.
With a dedicated AI in place, most of that is prepared before the team asks for it. By 3 July each explorer has a reconciled Xero file and draft 5B workings with exploration spend split by project and the related-party payments line supported by transaction lists. The late-June placement is matched tranche by tranche to the lead manager's settlement statement, costs are posted to equity, and the option register ties to the reserve, with two lapsed director options flagged for the policy decision. On the medical side, a year of health fund and Medicare remittances is matched to billing exports, 212 unreconciled gaps are sent back to practice managers as one list per specialist, and each service entity has a cost-base schedule showing rent, wages and consumables against the fee charged. The MYOB clients get the same treatment in their existing files, plus a mapping document for the Xero move.
The directors still own every 5B, every PSI call and every fee review. They just start July at the review stage, not the data-entry stage, and nobody has to choose between an explorer's ASX deadline and a surgeon's tax plan.
Three steps, two playbooks
One dedicated AI, configured differently for your resources clients and your medical clients.
Connect the files that matter
Xero and MYOB organisations, the inbox where registries, lead managers and practice managers send their exports, and your document store. Usually within a day.
Load each client's rules
Capitalise or expense exploration, how lapsed options are treated, which funds a specialist bills, what the service agreement covers. The AI works to your policies, not its own.
Review, don't rebuild
Work lands as drafts and exception lists with an audit trail. Your team approves, adjusts or sends back, and the AI learns from every correction.
Bring a specialist's remittances and an explorer's option register
Book a session with a real Xero or MYOB file from your Subiaco book. We will show you the health fund matching, the reserve reconciliation and the exception lists your team would review each morning.
See it on your Xero fileWhat the AI prepares, client by client
The preparation work, side by side. Every column ends with a person at your firm signing off.
| Workflow | Junior ASX explorer | Medical specialist |
|---|---|---|
| Day-to-day ledger | Codes drilling, assays, contractors and tenement rents to project tracking categories | Matches health fund, Medicare, DVA and gap payments to billing exports |
| Periodic deliverable | Draft Appendix 5B workings within days of quarter end | Monthly practice income summary by hospital, fund and referrer |
| Equity and structure | Placement tranches, share issue costs, option register to reserve reconciliation | Service entity cost base against the fee charged, trust distribution workings |
| Tax prep | Exploration spend separated from overhead, five-year capital raising cost schedule | Income source analysis to support your PSI assessment |
| Exceptions raised | Relinquished tenements, unmatched raise proceeds, lapsed or unexercised options | Rejected fund claims, unpaid gaps, fee mark-up drifting year on year |
| Sensitivity | Unreleased raise terms and results are inside information | Patient names and item numbers are health information |
Where the AI stops and your judgement starts
Registered agents lodge
It prepares BAS, tax workings and schedules; a registered tax or BAS agent reviews and lodges. Tax Practitioners Board obligations are unchanged.
Judgement calls stay human
Impairment of an area of interest, whether PSI rules apply, what a service fee should be, what goes in an ASX announcement: flagged with evidence, decided by you.
Onshore and single-tenant
Runs on isolated AWS infrastructure in Sydney. Your firm's data is never shared with another practice or used to train anyone else's model.
Every step logged
What was coded, matched, flagged or changed, and by whom. Useful for audit files, reviewer notes and your own supervision records.
Questions Subiaco firms ask us
Our explorer clients lodge an Appendix 5B every quarter. Can a dedicated AI help us hit the one-month deadline?+
Yes, and that is usually where Subiaco firms start. The ASX quarterly activities and cash flow report is due within a month of quarter end, and the tight part is rarely the form itself, it is getting every bank account, credit card and intercompany loan coded before anyone can total operating and investing cash flows. The dedicated AI keeps each explorer's Xero file reconciled through the quarter, so on the first business day of the new quarter it can produce draft 5B workings: exploration and evaluation spend split between expensed and capitalised, staff and administration costs, proceeds from issues of equity, and the related-party payments line with the underlying transactions listed. Your CFO or company secretary client still reviews and finalises it.
Can it keep exploration expenditure straight across multiple tenements and an AASB 6 policy?+
It follows whatever policy the company has adopted. If your client capitalises exploration and evaluation expenditure by area of interest, the AI codes drilling, assays, geology contractors, heritage surveys and tenement rents to the right project tracking category and keeps a running schedule by tenement. If the policy is to expense, it still tags spend by project so the directors can see where the money went. It flags items that need a human call, such as a relinquished tenement that may trigger an impairment, and it separates exploration spend that may be deductible under the tax rules from general corporate overhead for your tax working papers.
How does it handle a placement or entitlement offer, including share issue costs and GST?+
When a raise completes, the AI matches the funds received to the placement tranches or entitlement acceptances, reconciles the lead manager's settlement statement, and posts directly attributable costs such as lead manager fees and legal fees against issued capital rather than profit and loss, in line with your firm's approach. It builds a schedule of capital raising costs for the five-year deduction and flags the GST question for review: a capital raise is a financial supply, so it tests the costs against the financial acquisitions threshold and highlights where reduced input tax credits may apply. You make the final call on each line.
What about the option reserve: issues, vesting, exercises and lapses?+
Junior explorers tend to have more option classes than staff, and the option reserve is where year-end audits most often find loose ends. The AI keeps a reconciliation between the option register and the general ledger: new issues to directors, lead managers and employees, the share-based payment expense as it vests using the valuation you or your valuer supply, exercises that move value from the reserve into issued capital alongside the cash received, and expiries or lapses that are transferred out under your client's accounting policy. It does not value options itself; it makes sure the numbers you have agreed are posted correctly and consistently.
We also look after surgeons and anaesthetists who operate at St John of God Subiaco. Can it reconcile their billing?+
Yes. A specialist's bank account is a mess of health fund deposits, Medicare benefits, DVA payments, patient gap payments through the rooms' terminal and occasional hospital sessional fees, often batched so one deposit covers many procedures. The AI reads the remittance advices, matches each deposit to the invoices in the practice billing export, and codes the result into the specialist's Xero or MYOB file. Unpaid gaps and rejected fund claims come back to the practice manager as a clean exception list instead of surfacing six months later at tax time.
Can it decide whether the personal services income rules apply, or set the fee for a specialist's service entity?+
No, and it is not designed to. Those are professional judgements that sit with you. What the AI does is assemble the evidence you need to make them quickly: the share of each specialist's income by hospital, fund and referral source for the results and 80% tests, the actual cost base of the service entity (rooms rent on Hay Street or Salvado Road, reception and billing staff, equipment and consumables) so you can check the service fee is commercially justifiable, and a year-on-year comparison so a drift in the mark-up is visible before the ATO sees it. Your firm reviews, decides and documents.
We hold price-sensitive information for listed clients and patient details for doctors. Where does the data live?+
Onshore. Each dedicated AI runs single-tenant on AWS in the Sydney region, so data stays in Australia and is never pooled with another firm or used to train models for anyone else. That matters twice over for a Subiaco practice: unreleased raise terms and drilling results are inside information until they hit the ASX platform, and the names and item numbers on a surgeon's remittances are health information, which the Privacy Act treats as sensitive. Access is scoped to the files and mailboxes you connect, and every action is logged.
Does a dedicated AI change our Tax Practitioners Board obligations?+
No. It prepares, a registered tax agent or BAS agent reviews and lodges. Your obligations under the Tax Agent Services Act and the Code of Professional Conduct stay exactly as they are, including the duty to take reasonable care. The audit trail helps here: you can see which transactions the AI coded, which it flagged for review and which a person changed, which is useful evidence of supervision for your own quality files.
