# AI for Accountants Milton

Milton clients bill projects, not products. A dedicated AI keeps work in progress and unbilled disbursements current in Xero and MYOB, watches the personal services income line across your one-person consultancies, and absorbs the project work arriving with the 2032 pipeline, so your people can tell a client whether a job is making money while it still matters.

## A client book built entirely from billable hours

Milton is small and strange. The suburb covers about 1.3 square kilometres, sits 2.9 kilometres by road west of the Brisbane CBD, and had just 3,144 residents at the 2021 Census with a median age of 30. Yet on a weekday morning the footpaths off Milton Road and Park Road are full, because most of that 1.3 square kilometres is office floor. Between Coronation Drive and the Ipswich line you have engineering and resources consultancies, surveyors, planners, architects, recruiters, IT and data firms, and the agencies and advisers that sell to them, with Suncorp Stadium at one end and the brewery on the ridge above.

For an accountant, that concentration produces a very particular client book. Almost nothing in Milton is a counter business. These clients sell time and expertise against contracts that run for months, invoice on milestones and variations rather than on delivery, carry costs they have paid on a client's behalf, and win or lose money on jobs long before anyone looks at a profit and loss. Two numbers decide whether their accounts mean anything: work in progress and unbilled disbursements. Both are invisible in a bank feed, both are built from data your client controls, and both are usually estimated in a rush at 30 June.

A second pattern sits alongside it. The precinct is thick with one-person consultancies, an engineer, a project manager, a planner or a developer operating through a company or trust, often billing a single principal contractor. That is squarely personal services income territory, and the answer changes as their client mix changes through the year, not at the point the return is prepared.

Then there is the pipeline. The Queensland Government's 2032 Delivery Plan, released in March 2025, set out a capital works program of roughly $7.1 billion across new and upgraded venues and the infrastructure around them. The firms bidding for and staffing that work are the firms in these buildings, and they are growing faster than their accountants can hire. A [dedicated AI handling tax and compliance preparation](/ai-employee/tax-compliance/) lets a Milton practice absorb that growth without a hiring round, working in **Xero and MYOB** overnight with every record held onshore in the [AWS Sydney region](/secure-ai/).

## The number nobody trusts

In a project business, the gap between doing the work and getting paid for it is where the margin quietly goes.

Ask a Milton consultancy what its work in progress is and you will usually get a number from the last year-end, adjusted by feel. That is not carelessness. WIP depends on timesheets being entered, on someone deciding what is genuinely billable, and on a partner having the time to look at every open job. In a firm winning new work faster than it closes old work, that review is the first thing to slip, and the balance sheet drifts away from reality one month at a time.

Unbilled disbursements drift the same way, only faster and with real cash attached. Site travel and accommodation, subcontractor and specialist fees, testing and laboratory costs, council and search fees, plotting and printing, project-specific software licences: each one is small enough to forget and every one of them was paid by your client on someone else's behalf. They surface, if they surface, when the final claim is prepared, by which time the argument about whether they were agreed is already lost.

A dedicated AI does not make the judgement calls, it removes the lag. It codes every payment to an open job as it arrives, keeps the WIP schedule current instead of quarterly, ages both so the stale items stand out, and puts a short review list in front of a human. What changes is not who decides, it is when they get to decide.

| Stage in the cycle | Typical lag without help | With a dedicated AI | Who approves |
| --- | --- | --- | --- |
| Timesheets against open jobs | Chased at month-end, some never arrive | Gaps flagged the next morning | Client's project lead |
| Disbursements coded to a job | Reconstructed before the final claim | Matched to a job code on arrival | Bookkeeper or client manager |
| Subcontractor invoice to purchase order | Matched by hand, often after payment | Matched and variances listed | Client manager |
| WIP review and write-offs | At year end, from a stale schedule | Weekly aged list, exceptions first | Principal |
| Milestone and variation claims | Raised when someone remembers | Drafted as each milestone is met | Client's principal |
| Month-end revenue recognition | Estimated, adjusted at 30 June | Drafted from the current schedule | Registered tax agent |

## The one-person consultancy upstairs

Behind every Milton engineering firm there is a cluster of sole practitioners billing into it. The structural engineer who left a big consultancy and kept two of its clients. The project manager contracting to a single principal for eighteen months. The planner, the safety adviser, the data specialist, each operating through a company or a trust and each assuming their structure settles the tax question. It does not. The personal services income rules decide it, and they decide it on the facts of that income year.

The mechanics are well known to any accountant: if the income is mainly a reward for a person's skill, it is PSI, and unless the business qualifies as a personal services business the income is attributed to the individual and the deductions narrow sharply. A business can self-assess against the results test if it is met for at least 75 per cent of the PSI, being paid to produce a result, supplying its own tools and equipment, and being liable to rectify defects. The other tests, including the unrelated clients test, can only be self-assessed where no single client and its associates account for 80 per cent or more of the PSI. Past that line, the path runs through a personal services business determination from the ATO.

The problem is timing, not knowledge. A contractor who was comfortably diversified in August can be at 90 per cent from one client by March because a long project ramped up, and nobody notices until the return is prepared, when the year is closed and the options are gone. A dedicated AI keeps the income split by payer updated as invoices are raised, so the 80 per cent line is something your team can see approaching. It also quietly collects the evidence: the contract clauses that speak to a result and to rectification, the tender and advertising records that matter for the unrelated clients test, and the equipment the contractor actually supplies. The determination stays where it belongs, with a registered agent who knows the client. See how the same pattern plays out in [practices around the country](/ai-employee/accounting-firms/), or read the [Australian guide for bookkeepers and BAS agents](/ai-bookkeeping-australia/) if that is the side of the work you handle.

### Bring one contractor client and one project file

We will run a dedicated AI across a real Xero ledger, or a legacy MYOB AccountRight file, and show you the income-by-payer split and the job-coded disbursement list it produces. Most Milton practices start with a single client.

An illustrative Little Cribb Street practice, one quarter

## Nine staff, 140 clients, and a WIP figure last reviewed in July

Picture a nine-person firm in a first-floor tenancy on Little Cribb Street, a block back from Coronation Drive: two directors, a client manager, four accountants and two administrators, looking after around 140 business clients. About 55 of those are project businesses, a civil engineering consultancy with 30 staff, two surveying practices, a handful of digital and design agencies, a planning firm, and roughly twenty sole-trader consultants operating through companies. Most sit in Xero. Three long-standing engineering clients are still in MYOB AccountRight and will be for another year. Job and time data lives in two different project systems and, for four clients, a spreadsheet the office manager guards.

The quarter starts badly. The engineering client has won a package of work tied to the 2032 venue program and has gone from 30 staff to 41 in five months. Its bank feed volume has doubled, its subcontractor list has trebled, and its last WIP review was in July. When the client manager finally opens the job report in October, there is a job that has run 180 hours past its fee proposal with no variation raised, and about nine weeks of site travel, geotechnical testing and council fees sitting in general overhead with no job code against them. Two of the sole-trader clients, meanwhile, have drifted to a single payer without anyone checking where that leaves them under the PSI rules.

With a dedicated AI connected to the ledgers, the same quarter runs differently. Every payment is matched to an open job the day it lands, and anything without a job code comes back as a question rather than disappearing into overhead. The WIP schedule is rebuilt nightly and aged, so the 180-hour overrun appears as an exception in week two, when a variation can still be raised and agreed. Subcontractor invoices are matched to purchase orders with the variances listed. The income-by-payer register flags both sole traders in November rather than the following August. The client manager spends the quarter reviewing exceptions and having two uncomfortable but useful conversations early, instead of rebuilding three months of history in the week before the accounts are due.

## The project-ledger work it takes off your desk

Built around what a Milton client book is actually made of: open jobs, on-charged costs, subcontractors and contractors.

### Work in progress schedules

Unbilled time pulled against every open job nightly, aged, and compared to the fee proposal so overruns surface as exceptions while a variation is still possible.

### Unbilled disbursement recovery

Travel, testing, council and search fees, printing, specialist and per-project licence costs matched to a job code on arrival, with anything unrecovered past policy listed for review.

### Milestone and variation claims

Progress claims drafted as each milestone is met, with retention amounts tracked and approved variations picked up instead of quietly absorbed.

### Personal services income register

Income split by payer for every contractor client, updated as invoices are raised, with the 80 per cent line and the results test evidence tracked through the year rather than at lodgement.

### Subcontractor and purchase-order matching

Invoices matched to orders with variances listed, ABN and insurance currency checked, and contractor payment records kept ready for reporting obligations.

### Ledger, BAS and month-end

Bank feeds coded and reconciled in [Xero and MYOB](/ai-employee/bookkeeping/), tracking categories kept clean, and BAS and month-end working papers drafted for a registered agent to review and lodge.

## Questions from Milton practices

Do you work with accounting practices based in Milton?+

Yes. The dedicated AI is cloud-based, so it suits practices anywhere in the inner-west belt: the office floors along Milton Road, Park Road and Coronation Drive, the smaller suites tucked behind Little Cribb Street and Baroona Road, and the firms just over the boundary in Auchenflower, Toowong, Paddington and Red Hill. Milton is a compact suburb, about 1.3 square kilometres and 2.9 kilometres by road west of the Brisbane CBD, but its daytime population dwarfs its 3,144 residents because so much of it is office stock. If your client book is built from the engineering, consulting and agency businesses in those buildings, this page is written for you.

Our Milton clients are engineering and consulting firms. Can it actually handle work in progress?+

That is the main reason firms here take it on. A consultancy's work in progress is time recorded against open jobs that has not yet been invoiced, and it is usually the largest and least reliable number on the balance sheet because it depends on timesheets being entered and someone reviewing what is genuinely billable. The dedicated AI pulls time and job data from the systems your clients use, keeps a WIP schedule per job updated through the month rather than at year end, ages it so stale work stands out, and produces a review list of jobs where recorded time has drifted past the fee estimate or the agreed milestone. Your accountant makes the write-on and write-off calls; the AI just makes sure the numbers in front of them are current.

Unbilled disbursements are where our clients quietly lose money. Does it help there?+

Yes, and it is the fastest win on most Milton files. Project businesses pay for things on a client's behalf constantly: travel and accommodation for site visits, subcontractor and specialist fees, laboratory and testing costs, council and search fees, plotting and printing, and per-project software licences. Each one is small enough to forget and they are often only reconciled when someone prepares the final claim. The dedicated AI matches every payment against an open job code as it lands, separates recoverable disbursements from the firm's own overhead, and lists anything sitting unrecovered past your client's on-charge policy. Where a cost has no job code it asks rather than guessing, which is how most of them get lost in the first place.

Several of our clients are one-person consultancies. Can it help with the personal services income rules?+

It can do the monitoring and evidence work, not the judgement. Milton is full of solo engineers, project managers, planners and IT consultants operating through a company or trust, and the personal services income rules in Division 84 to 87 sit over all of them. The dedicated AI keeps each client's income split by payer as invoices are raised, so you can see through the year when one client and its associates are heading past 80 per cent of PSI, which is the point where the other personal services business tests can no longer be self-assessed and a determination from the ATO comes into play. It also gathers the supporting material your team needs: contracts showing payment for a result, evidence the client supplies their own tools and carries the cost of rectifying defects for the results test, and the tender, advertising and website records that support the unrelated clients test. A registered tax agent still reaches the conclusion and signs the return.

The 2032 Games pipeline is bringing us project-based clients faster than we can staff for. Does that change anything?+

It is the reason to start now rather than next year. The Queensland Government's 2032 Delivery Plan, released in March 2025, set out a capital works program worth around $7.1 billion across new and upgraded venues and supporting infrastructure, and the engineering, planning, surveying and project-management firms winning that work sit in buildings like the ones along Milton Road. Those clients arrive mid-project with existing job codes, joint-venture arrangements, retention amounts and a subcontractor list that grows monthly. A dedicated AI goes live within 1 hour and absorbs the ledger work for each new client as it comes on, which means your practice can take the growth without a hiring round you would have to unwind when a contract ends.

Does it connect to Xero and MYOB, and to the job and time systems our clients run?+

Yes. Xero and MYOB are the two ledgers most Brisbane practices work in, and the dedicated AI connects directly to both: coding and reconciling bank feeds, maintaining tracking categories and job codes, pulling the data for BAS and GST working papers, and keeping each file current day to day. Alongside those it reads the project and time systems consultancies tend to run, including job and quoting tools, time-recording apps and document capture services such as Dext and Hubdoc. Plenty of older Milton engineering clients still sit in MYOB AccountRight while the newer ones are on Xero, and it works across both, including during a migration from one to the other.

Where is our client data kept, and does using AI change our Tax Practitioners Board position?+

Your data stays in Australia and your obligations do not change. Each practice gets its own single-tenant dedicated AI running on AWS infrastructure in the Sydney region, isolated from every other firm and never used to train anyone else's models. That matters in Milton, where client files routinely contain commercially sensitive tender pricing, joint-venture terms and rates that competitors two streets away would like to see. On the professional side, the AI prepares and a registered tax or BAS agent reviews and lodges, so the Tax Practitioners Board Code of Professional Conduct applies to your practice exactly as it does today. Every action it takes is logged, so you can show what was prepared, when and from which source.

Will it replace our accountants, and how does the cost compare with hiring?+

No. It takes the work nobody in a Milton practice enjoys: chasing timesheets, matching subcontractor invoices to purchase orders, rebuilding a WIP schedule that has gone stale, and reconstructing three months of disbursements before a final claim. What is left for your people is the work project clients actually pay a premium for, which is telling them whether a job is making money while there is still time to do something about it. It typically runs at around 70% less than an offshore virtual assistant, works overnight so drafts are waiting when your team arrives, and is live within 1 hour rather than the months it takes to find and train a good project accountant in this market.
